A worked example

Quoting a job from the site visit

Quoting is a good illustration of how our systems work. The site visit is where the knowledge is; the evening spent turning it into a priced document is where the time goes. The system takes the notes, photos and measurements and prepares the quote. It does not send anything and it does not set your prices.

The same approach applies to tenders, variations, supplier management and job documentation. Whatever the task, the pattern is the same: the system reads, reasons and concludes; a person decides.

It reads what came back from site

Notes, voice memos, photos, measurements and the client's brief. It lists the work involved, the access and conditions, and anything that was not covered on the visit.

It works the job through

Materials and quantities, labour by trade and duration, plant and access, subcontracted elements and waste. Each is checked against current supplier prices and the jobs you have priced before.

It returns a clear conclusion

A recommended price with margin, an itemised breakdown, the assumptions made, and the points that carry risk: unknown ground, tight programme, unclear scope. It drafts the quote and the questions for the client.

You make the decision

The quote is reviewed by the person who will run the job. They adjust it or approve it, and it goes to the client under their name. Their decisions feed back into how the system prices the next one.
