Pricing and confirming an order
Order processing is a good illustration of how our systems work. Each order is small; together they take up most of the sales office. The system reads the order, prices it correctly and prepares the confirmation. It does not send anything and it does not override your terms.
The same approach applies to purchasing, supplier price changes, account reviews and customer correspondence. Whatever the task, the pattern is the same: the system reads, reasons and concludes; a person decides.
It reads the order as it arrives
Email, PDF, portal, spreadsheet or a photo of a handwritten list. It identifies the customer, the products, quantities, delivery requirements, and anything unclear or missing.
It works the order through
The customer's agreed prices and terms, current cost and margin, stock and lead times, minimum quantities and substitutes. Each is checked against your rules and the customer's history.
It returns a clear conclusion
A priced order ready to confirm, with margin shown, any lines below target, any items that cannot be fulfilled as asked, and a drafted confirmation or query for the customer.
Your sales office makes the decision
The order is reviewed by someone who knows the account. They approve it or adjust it, and it goes through under their name. Their decisions feed back into how the system handles the next one.
Every order priced correctly, accounts watched, and the sales office selling
For the business
Orders are confirmed within minutes rather than hours. Margin is protected on every line, not just the ones somebody checked. Supplier price rises are caught and passed on. Accounts that are slipping are noticed while they can still be recovered.
For your people
Your sales office knows the customers and the products. That knowledge is wasted on keying orders and looking up price lists. With the routine handled, they spend their time talking to customers and growing accounts.
For your control
Every conclusion shows its working, so it can be checked. Nothing is confirmed to a customer without a person approving it. Your pricing, customer and order data stay yours and can be exported at any time. No long contracts.
