AI systems for the admin behind good service

Behind every good service is a back office doing the same work every week: pricing group and event enquiries, checking supplier invoices, building rotas around bookings, answering reviews and complaints, reconciling the takings. It needs people who know the operation, and most of it repeats. We build systems that take on this work, think it through properly and hand a clear conclusion back to your people. They review it and make the decision.

Your data, exported any time
No lock-in
Where the repeated work sits A typical operator
Enquiries Read group, event and private-hire requests, check availability, price them against your packages and margins.
Suppliers Check delivery notes against invoices and agreed prices, flag cost increases, track cost of sales by line.
Rotas Draft the week's rota from bookings, forecast covers, contracted hours and availability.
Guests Sort reviews, complaints and feedback, draft replies in your voice, flag the ones that need a manager.
Each follows the same logic every time. That is work software can carry.
A worked example

Pricing a group or event enquiry

Event enquiries are a good illustration of how our systems work. Each one arrives differently, needs checking against availability, packages and margin, and deserves a proper reply the same day. The system does that work and drafts the proposal. It does not send anything and it does not set your prices.

The same approach applies to supplier invoices, rotas, guest correspondence and daily reconciliation. Whatever the task, the pattern is the same: the system reads, reasons and concludes; a person decides.

01

It reads the enquiry

Email, web form or booking platform message. It identifies the date, numbers, occasion, dietary and access requirements, budget signals, and what has not been specified.

02

It works the booking through

Availability across spaces and times, the packages that fit, staffing and kitchen implications, minimum spends and margin. Each is checked against your rules and past events of a similar size.

03

It returns a clear conclusion

A recommended package and price, the options worth offering, the points to confirm with the guest, and a drafted proposal in your house style.

04

Your manager makes the decision

The proposal is reviewed by the person who will host the event. They adjust it or approve it, and it goes to the guest under their name. Their decisions feed back into how the system prices the next one.

What it means

Enquiries answered the same day, costs watched, and managers on the floor

For the business

Group and event enquiries get a proper reply within the hour, so more are converted. Supplier price creep is caught on the invoice, not at month end. Rotas match the bookings. Reviews get a considered reply every time.

For your people

Your managers know the guests, the team and the kitchen. That knowledge is wasted in an office chair after close. With the admin handled, they spend their time where service is actually made.

For your control

Every conclusion shows its working, so it can be checked. Nothing goes to a guest or a supplier without a person approving it. Your booking, supplier and guest data stay yours and can be exported at any time. No long contracts.

Tell us what keeps your managers off the floor

Describe the office work behind your operation and how long it takes each week. We will tell you plainly whether it is worth building for, and what it would take.
